Role Overview
We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to the Director who can efficiently manage the Director’s daily operations, schedule, and executive communications. The ideal candidate will serve as a trusted partner to the Director by ensuring seamless coordination across teams, maintaining confidentiality, driving follow-ups, and enabling effective decision-making through timely documentation and administrative support.

Key Responsibilities
Manage and maintain the Director's calendar, appointments, meetings, and daily priorities.
Coordinate internal and external meetings, including scheduling, agenda preparation, and meeting logistics.
Prepare, document, and circulate accurate Minutes of Meetings (MoMs) with action items, owners, and timelines.
Track MoM action points and proactively follow up with stakeholders to ensure timely completion.
Handle email correspondence, phone calls, and official communication on behalf of the Director.
Prepare presentations, reports, MIS, dashboards, business documents, and executive summaries.
Coordinate with cross-functional teams to drive business initiatives and ensure timely execution.
Liaise with clients, vendors, partners, and senior leadership professionally.
Arrange travel bookings, accommodation, itineraries, and travel-related documentation.
Maintain confidential records, files, contracts, and business documents with utmost discretion.
Organize leadership meetings, management reviews, board meetings, and corporate events.
Assist the Director in day-to-day administrative, operational, and strategic activities.
Monitor key deliverables, deadlines, and ensure timely follow-ups across departments.
Support special projects, research activities, and business coordination as assigned.
Continuously improve executive support processes for enhanced productivity and efficiency.
Good-to-Have Skills
Qualifications
Bachelor's degree in Business Administration, Commerce, Management, or a related field.
1–3 years of experience as an Executive Assistant, Personal Assistant, Executive Coordinator, or in a similar administrative role.
Proven experience supporting senior management or leadership teams.
Excellent proficiency in Microsoft Office applications, especially Excel, PowerPoint, and Outlook.
Strong interpersonal, coordination, and communication skills.
Ability to maintain strict confidentiality and handle sensitive information with discretion.
Strong follow-up, documentation, and organizational skills.
